Role Summary
Keep our projects moving: quotations, purchase orders, dispatches and client updates for an IT infrastructure and cybersecurity company in Ahmedabad.
Role overview
Vinay Enterprises designs, supplies and supports network and cybersecurity infrastructure for enterprises and utilities across Gujarat, working with OEMs such as Fortinet, Sophos, HPE and Cisco.
As Operations Executive you are the link between our sales team, our field engineers and our clients. You make sure every order is documented correctly, every dispatch leaves on time with the right paperwork, and every client knows where their project stands.
This role suits someone organised and calm under pressure, who likes clear records and following things through to the end. You will work from our Satellite office, six days a week.
Key Responsibilities
- Prepare quotations and process purchase orders, checking each order against the quotation
- Plan dispatches and prepare delivery challans and e-way bills
- Coordinate site activities with field engineers and vendors
- Keep clients updated on order and dispatch status by phone and email
- Maintain project documentation and records in our ERP and CRM
- Prepare weekly reports and track team KRAs
- Follow up on delays, damaged material and pending documents until closed
The skills and mindset that fit here
- Graduate in any discipline
- 1 to 2 years in back-office operations, order processing or project coordination
- Good working knowledge of MS Excel (lookups, pivot tables) and Microsoft 365
- Clear written and spoken English
- Organised, detail-oriented and comfortable working to deadlines
